Privacy Policy

This Privacy Policy explains how Scan-A-Bin (by Angel Gate Solutions) collects, uses, and protects information when you use the Scan-A-Bin app and related services.

Summary

Scan-A-Bin helps you catalog household and small-business inventory. To provide the service, we may collect account identifiers (such as email/phone or Sign in with Apple), inventory content you add (bin names, rooms, item lists), and photos you upload for scanning. We use this data to operate the app, improve features, and support account and household sharing. If you enable ads or use AI scanning, third-party providers may process limited data to deliver those features.

We do

  • Store your inventory so you can search it later
  • Process photos you submit for AI item detection (when you request it)
  • Use security controls to protect accounts and household data

We don’t

  • Sell your personal information
  • Access your photos without your action (you choose what to upload)
  • Use your inventory content for advertising profiling outside the app

Information We Collect

Information you provide

  • Account details (e.g., email address, phone number, or Sign in with Apple identifier), and basic profile details you choose to add (name, profile photo).
  • Inventory content (e.g., household name, rooms, bin labels/QR codes, item names, categories, quantities, notes).
  • Photos and images you upload for bin/item scanning or for item photos.
  • Invites and shared households (e.g., invitee identifiers and acceptance/decline status).

Information collected automatically

  • Device and app data such as device type, OS version, app version, crash logs, and diagnostic performance data.
  • Usage data such as feature interactions (e.g., scans used, screens viewed), in aggregated form where possible.

Third-party SDK data

If enabled in your build, third-party services (for example, authentication, database/storage hosting, analytics, crash reporting, ads) may collect identifiers and diagnostic data to provide their services.


How We Use Information

  • Provide core functionality (store inventory, enable search, generate/resolve QR codes).
  • Enable household sharing (invites, roles/permissions, shared bin contents).
  • Provide AI-assisted features when you request a scan or analysis.
  • Improve reliability (debugging, crash diagnostics, performance optimization).
  • Communicate with you (support requests, important service updates).
  • Security and fraud prevention (protect accounts, prevent abuse).

Sharing & Disclosure

We share information only as needed to operate Scan-A-Bin and provide requested features:

  • With household members you invite (shared inventory content in the same household).
  • With service providers (cloud hosting, storage, analytics, crash reporting, email delivery, and similar vendors) who process data on our behalf.
  • For legal and safety reasons (to comply with law, enforce policies, or protect rights, property, and safety).
  • Business transfers (if a merger, acquisition, or asset sale occurs, data may transfer under appropriate safeguards).

We do not sell personal information.


AI & Photo Processing

When you choose to use AI scanning, photos you upload may be processed to detect items and extract inventory details. Processing may be performed using cloud AI services, and results are returned to your account to help populate item names and quantities.

Your control: AI processing only occurs when you submit an image for scanning within the app. You can delete bins/items and associated images from within the app (where supported).

We recommend you avoid uploading images containing sensitive personal information (e.g., government IDs, medical records). If you upload such content, it may be processed as part of the scan request.


Advertising

Scan-A-Bin may offer a free, ad-supported tier. If ads are enabled, advertising partners may collect device identifiers and limited usage data to serve and measure ads, and to support frequency capping and fraud prevention.

If you upgrade to an ad-free plan (where available), the app may reduce or disable ad-related data collection in accordance with your subscription status.


Data Retention

We retain information for as long as needed to provide the service, comply with legal obligations, resolve disputes, and enforce agreements. If you delete content in the app (where supported), we will remove it from active systems within a reasonable period, subject to backup retention and legal requirements.


Security

We use administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, misuse, or alteration. No system is 100% secure; you are responsible for maintaining the confidentiality of your login credentials and using up-to-date devices.


Children’s Privacy

Scan-A-Bin is not intended for children under 13 (or the minimum age required by your jurisdiction), and we do not knowingly collect personal information from children. If you believe a child has provided personal information, contact us so we can take appropriate action.


Your Choices & Rights

  • Access and update: You can update certain profile information within the app (where supported).
  • Delete content: You can delete bins/items and associated data within the app (where supported).
  • Account deletion: You may request deletion of your account and associated data by contacting us (see below).
  • Marketing preferences: If you receive optional marketing emails, you can opt out via the link in those messages (if applicable).

Depending on your location, you may have additional rights (e.g., to object, restrict processing, or request portability). We will respond consistent with applicable law.


Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated" date and may provide additional notice within the app or on our website. Your continued use of the App following any changes constitutes acceptance of the updated Privacy Policy. If you do not agree with any update, you must stop using the App and may request deletion of your account.


Do Not Track Signals

Some web browsers and devices transmit "Do Not Track" (DNT) signals. Because there is no universally accepted standard for how to interpret and respond to DNT signals, Scan-a-Bin does not currently respond to or alter its practices when it receives DNT signals from your browser or device. We will continue to monitor developments around DNT browser technology and the implementation of standards. If a universally accepted standard is established, we will reassess our approach.

For California residents, please note that we do not engage in the "sale" or "sharing" of personal information as defined under the California Consumer Privacy Act (CCPA/CPRA), and we honor opt-out preference signals (such as the Global Privacy Control, or GPC) to the extent required by applicable law.


Cookies & Similar Technologies

When you access our website (as opposed to the mobile app), we and our third-party service providers may use cookies, web beacons, pixels, local storage, and similar technologies to collect information about your browsing activity, recognize your device, and deliver a personalized experience.

Types of cookies we may use

  • Essential cookies: Required for the website to function properly (e.g., session management, security, load balancing). These cannot be disabled.
  • Analytics cookies: Help us understand how visitors interact with our website (e.g., pages visited, time on site, click paths). These may be provided by third-party analytics services.
  • Functional cookies: Remember your preferences and settings (e.g., language, region, display preferences).
  • Advertising cookies: Used by advertising partners to deliver relevant ads and measure ad effectiveness. We may use these if the website displays advertisements.

Your cookie choices

Most browsers allow you to control cookies through their settings, including blocking or deleting cookies. Please note that disabling cookies may affect the functionality of the website. For mobile devices, you can manage advertising identifiers and tracking through your device's privacy settings.


International Data Transfers

Scan-a-Bin is operated from the United States. If you are located outside the United States, please be aware that your information may be transferred to, stored in, and processed in the United States or other countries where our service providers maintain facilities. These countries may have data protection laws that differ from (and may be less protective than) the laws of your country of residence.

By using the App, you consent to the transfer of your information to the United States and other jurisdictions as described in this Privacy Policy. Where required by applicable law, we implement appropriate safeguards for cross-border data transfers, including:

  • Standard Contractual Clauses (SCCs) approved by the European Commission.
  • Data Processing Agreements with our third-party service providers.
  • Reliance on adequacy decisions issued by relevant data protection authorities, where applicable.
  • Other data transfer mechanisms permitted under applicable law.

California Privacy Rights (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act of 2018 (CCPA), as amended by the California Privacy Rights Act of 2020 (CPRA), provides you with specific rights regarding your personal information. This section describes those rights and explains how to exercise them.

Categories of personal information collected

In the preceding twelve (12) months, we may have collected the following categories of personal information:

  • Identifiers: Name, email address, phone number, account identifiers, device identifiers.
  • Internet or electronic network activity: Browsing history on our website, app usage data, interaction data, log data.
  • Geolocation data: Approximate location based on IP address (we do not collect precise GPS location).
  • Audio, electronic, visual, or similar information: Photos you upload for bin/item scanning.
  • Inferences: Information derived from any of the above to create a profile about preferences or characteristics (limited to improving app functionality).

Your California privacy rights

  • Right to Know: You may request that we disclose the categories and specific pieces of personal information we have collected about you, the categories of sources, the business or commercial purpose for collection, and the categories of third parties with whom we share personal information.
  • Right to Delete: You may request that we delete personal information we have collected from you, subject to certain exceptions (e.g., legal compliance, transaction completion, security).
  • Right to Correct: You may request correction of inaccurate personal information that we maintain about you.
  • Right to Opt-Out of Sale/Sharing: We do not sell or share (as defined under the CCPA/CPRA) your personal information. If our practices change in the future, we will update this policy and provide a "Do Not Sell or Share My Personal Information" link.
  • Right to Limit Use of Sensitive Personal Information: If we collect sensitive personal information, you may request that we limit its use to only what is necessary to perform the services you request.
  • Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA/CPRA rights. We will not deny you goods or services, charge different prices, provide a different quality of service, or suggest that exercising your rights will result in any of these outcomes.

How to exercise your rights

To exercise any of the above rights, please contact us at support@angelgatesolutions.com. We will verify your identity before processing your request. You may also designate an authorized agent to make a request on your behalf, subject to identity verification. We will respond to verified requests within forty-five (45) days, or notify you if we need an extension (up to an additional 45 days).

Shine the Light (California Civil Code § 1798.83)

Under California Civil Code Section 1798.83, California residents who have provided personal information to a business may request information about whether the business has disclosed personal information to any third parties for the third parties' direct marketing purposes. We do not disclose personal information to third parties for their direct marketing purposes. If you have questions, please contact us at the email address above.


European Privacy Rights (GDPR)

If you are located in the European Economic Area (EEA), the United Kingdom (UK), or Switzerland, the General Data Protection Regulation (GDPR) and applicable national data protection laws provide you with specific rights regarding your personal data. This section describes those rights.

Your GDPR rights

  • Right of Access (Art. 15): You have the right to obtain confirmation as to whether your personal data is being processed and to request a copy of your personal data.
  • Right to Rectification (Art. 16): You have the right to request correction of inaccurate personal data or completion of incomplete personal data.
  • Right to Erasure / Right to Be Forgotten (Art. 17): You have the right to request deletion of your personal data in certain circumstances (e.g., when data is no longer necessary, when you withdraw consent, or when you object to processing).
  • Right to Restriction (Art. 18): You have the right to request restriction of processing under certain conditions (e.g., when you contest accuracy, or when processing is unlawful).
  • Right to Data Portability (Art. 20): You have the right to receive your personal data in a structured, commonly used, and machine-readable format, and to transmit it to another controller where technically feasible.
  • Right to Object (Art. 21): You have the right to object to processing based on legitimate interests or for direct marketing purposes. We will cease processing unless we demonstrate compelling legitimate grounds that override your interests.
  • Right Not to Be Subject to Automated Decisions (Art. 22): You have the right not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects or similarly significant effects on you.
  • Right to Withdraw Consent: Where processing is based on your consent, you may withdraw consent at any time without affecting the lawfulness of processing based on consent before its withdrawal.
  • Right to Lodge a Complaint: You have the right to lodge a complaint with a supervisory authority in your country of residence, place of work, or place of the alleged infringement.

Exercising your GDPR rights

To exercise any of the above rights, please contact us at support@angelgatesolutions.com. We will respond to your request within thirty (30) days, or notify you if we require additional time (up to an additional 60 days for complex requests). We may ask you to verify your identity before processing your request.

Data Controller

U.S. State Privacy Laws

In addition to California, several other U.S. states have enacted comprehensive privacy legislation. If you are a resident of Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, Iowa, Indiana, Tennessee, or any other state with applicable consumer privacy laws, you may have rights similar to those described in the California section above, including:

  • The right to access your personal data.
  • The right to correct inaccuracies in your personal data.
  • The right to delete your personal data.
  • The right to obtain a portable copy of your personal data.
  • The right to opt out of targeted advertising, sale of personal data, and/or profiling in furtherance of decisions that produce legal or similarly significant effects.

If your request is denied, you may have the right to appeal by contacting us with the details of your appeal. We will respond within the timeframes required by applicable law.


Canadian Privacy Rights

If you are a resident of Canada, the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation provide you with rights regarding your personal information, including the right to access your personal information, request correction of inaccurate information, and withdraw consent to the collection, use, or disclosure of your personal information (subject to legal or contractual restrictions).

We collect, use, and disclose personal information only for purposes that a reasonable person would consider appropriate in the circumstances. Your personal information may be stored and processed outside of Canada, including in the United States, and may be subject to the laws of the country in which it is stored or processed.

Biometric Data

Scan-a-Bin does not knowingly collect, capture, store, or use biometric identifiers or biometric information (as defined by the Illinois Biometric Information Privacy Act (BIPA), the Texas Capture or Use of Biometric Identifier Act, the Washington Biometric Identifiers law, or similar state, national, or international laws). This includes, but is not limited to: fingerprints, voiceprints, iris or retina scans, face geometry, hand geometry, or other physical or behavioral biometric characteristics.

While the App may process photos you upload for the purpose of item detection and inventory scanning using AI, this processing is designed to analyze objects and items in the photos, not to identify, detect, or analyze biometric features of any individuals. If you upload photos containing images of people, we strongly recommend you remove or obscure identifiable features before uploading. We disclaim any liability for biometric information inadvertently contained in user-uploaded photos.


Automated Decision-Making & Profiling

Scan-a-Bin may use automated processing, including AI-based item detection, to analyze photos and generate inventory data. This processing is designed to assist you in organizing your belongings and is not used to make decisions that produce legal effects or similarly significant effects concerning you.

We do not use automated decision-making or profiling to evaluate personal aspects relating to you, such as your economic situation, health, personal preferences, interests, reliability, behavior, location, or movements. AI features in the App are limited to object recognition and inventory assistance.

Data Breach Notification

In the event of a data breach that involves your personal information and that poses a risk to your rights and freedoms, we will notify you without undue delay, and in compliance with the notification requirements of applicable data protection and privacy laws (including but not limited to the GDPR, CCPA/CPRA, and applicable U.S. state data breach notification laws).

Notification may be made via email to the address associated with your account, through an in-app notification, by posting a notice on our website, or by another method permitted by applicable law. Such notification will include, to the extent known: a description of the nature of the breach, the categories of data affected, the likely consequences of the breach, and the measures taken or proposed to address the breach and mitigate its adverse effects.

We will also notify relevant supervisory authorities and regulators as required by applicable law.


Third-Party Analytics & Tracking

We may use third-party analytics services to help us understand how users interact with the App and website. These services may collect information sent by your device, including device identifiers, IP address, usage patterns, and other diagnostic data. Third-party analytics providers we may use include, but are not limited to:

  • Firebase Analytics / Google Analytics: Used to analyze app usage, feature engagement, and performance metrics. Google's privacy policy applies: policies.google.com/privacy.
  • Firebase Crashlytics: Used to collect crash reports and diagnostic data to improve app stability.
  • Google AdMob: If ads are enabled, AdMob may collect device identifiers, ad interaction data, and limited demographic information to serve and measure advertisements.

These third-party services operate under their own privacy policies, and their data collection practices are governed by their respective terms. We encourage you to review those policies. We do not have access to or control over the tracking technologies used by third-party services.


Lawful Basis for Processing

Where the GDPR or similar data protection laws apply, we process your personal data on one or more of the following legal bases:

  • Performance of a Contract: Processing is necessary to provide the App, maintain your account, deliver the services you request, and fulfill our obligations under these Terms.
  • Consent: Where you have given explicit consent to the processing of your personal data for one or more specific purposes (e.g., AI-based photo scanning, marketing communications). You may withdraw consent at any time.
  • Legitimate Interests: Processing is necessary for our legitimate interests (e.g., improving the App, ensuring security, preventing fraud, conducting analytics), provided such interests are not overridden by your fundamental rights and freedoms.
  • Legal Obligation: Processing is necessary to comply with a legal obligation to which we are subject (e.g., responding to lawful requests from public authorities, tax obligations, data retention requirements).
  • Vital Interests: In rare circumstances, processing may be necessary to protect the vital interests of you or another person (e.g., in an emergency).

Data Minimization & Purpose Limitation

We are committed to the principles of data minimization and purpose limitation. We collect only the personal information that is necessary for the purposes described in this Privacy Policy. We do not collect personal information beyond what is needed to provide the App and its features, and we do not use personal information for purposes incompatible with those for which it was collected, unless we have obtained your consent or unless such use is permitted or required by applicable law.

We regularly review the data we hold to ensure it remains relevant, accurate, and necessary. Where data is no longer needed for its original purpose and there is no legal basis for continued retention, we will delete or anonymize it within a reasonable period.


Household Sharing & Privacy

Scan-a-Bin allows you to create or join "households" where inventory data (bins, items, photos, notes) is shared among household members. By using the household sharing feature, you acknowledge and agree that:

  • Inventory data you add to a shared household will be visible to all current and future members of that household.
  • Household owners or administrators may invite or remove members, manage permissions, and control access to shared data.
  • If you leave a household, you may lose access to the inventory data associated with that household. Data you contributed may remain accessible to other household members.
  • We are not responsible for how other household members use, share, copy, or disclose shared inventory data.
  • You should only invite individuals you trust to your household, and you should not store sensitive, confidential, or regulated data in shared households.
  • Household data sharing is governed by these Terms and this Privacy Policy, but we cannot control or monitor how household members interact with shared data outside of the App.
